Industry / Property operations
Property management automation for Mississippi operations.
Make property operations easier to follow without replacing the decisions people must own. ShepBuild scopes inquiry routing, maintenance intake, selected owner reports and connected records around the property system already in use.
A useful first scope
A clear operational queue before a wider platform rebuild.
Start with one defined job, the people who own it and an observable result. Access, delivery, price and operating responsibilities are agreed for the engagement.
Separate the operating jobs
A viewing request and a maintenance request need different owners.
An inquiry about a property can collect selected contact information and prepare a viewing request. A maintenance report needs the correct property, issue context and a route to the responsible person. Neither should disappear into a generic inbox with no visible next step.
Use intake automation for capture and ownership, then define the conditions for scheduling or escalation. An urgent or unclear request needs the business’s established response path. A website form or assistant is not a substitute for that service procedure.
Property and contact records
Connect the right person to the right property.
Confirm which system owns the property, unit, contact and status. Record matching matters when an owner has several properties or a contact appears in several roles. Define the permitted information for staff, vendors, owners and residents rather than giving every user the same view.
A CRM connection can support inquiry context while the property management system keeps its operational records. API feasibility determines whether an existing supported integration or a custom bridge is appropriate.
Maintenance queue
Keep the requested work and the completed work distinguishable.
A first workflow can turn an approved maintenance request into a named queue item with status and the next owner. Record vendor assignment, required review and confirmation of completion. A model may summarize a request, but the operator determines priority and response according to the business’s rules.
| Workflow | Useful first output | Human decision |
|---|---|---|
| Property inquiry | Selected details and proposed next owner | Whether and how to proceed |
| Maintenance intake | Property-linked request and visible status | Priority, assignment and response |
| Owner reporting | Dated, checked operational packet | Review and approved delivery |
| Customer portal | Selected status and permitted documents | Access and publication rules |
Owner reports and portals
Expose selected records with their period and access scope.
An owner report should identify its source period and show missing inputs before release. A portal can make selected documents and status available to the intended account, with tests for cross-property and cross-owner access.
Do not copy every private record into the customer surface. Define which values are operational summaries and which records remain in the existing system. Payments, accounting and financial reporting require separately agreed responsibilities and established professional review where applicable.
Bound the pilot
Improve one administrative handoff before changing consequential decisions.
This scope concerns operational preparation, records and routing. Tenant screening, eligibility, housing decisions, legal notices and money movement are separate consequential responsibilities; an intake assistant should not acquire that authority through a broad prompt.
Start with representative, non-sensitive requests and test a wrong property, missing contact, repeated request and unavailable destination. ShepBuild is Jackson-based; use the readiness worksheet to define the first job, access and acceptance criteria before connecting live records.
Useful answers before a tool is chosen.
01Can ShepBuild help a property management team automate work?
We scope administrative workflows such as inquiries, maintenance intake, selected records, portals and reports. The existing systems, access and operating responsibilities determine implementation.
02Must we replace our property management software?
No. Configuration or a supported integration may be sufficient. Custom software is considered when a defined gap remains after assessing the existing tools.
03Will an AI assistant decide who can rent a property?
This workflow scope does not automate tenant eligibility or housing decisions. Responsible people retain those decisions and the applicable review process.
04Can owners see reports for only their properties?
That requires a defined account-to-property permission model and tests that unrelated records stay inaccessible. Portal access is part of the actual scope, not an assumed feature.
05What is a useful first pilot?
A property-linked maintenance queue or a checked owner report can be a bounded first job. Use representative data and compare missing inputs, routing errors and operator review effort.
One problem. One useful first build.
