AI document processing and OCR automation / Mississippi

AI document processing and invoice automation in Mississippi.

Reduce repeated document entry without losing the evidence behind a number. ShepBuild scopes AI document processing around selected file types, required fields, review rules, and the system that receives the accepted record.

Define the first delivery

A checked record, its source, and a clear exception path.

Work directly with Bud Sheppard to map the current job, check the available systems, and agree on a useful working result.

A possible first build / Illustrative scope

A document becomes a checked record.

This example explains a possible engagement. It is not a completed client project or a promised result.

The starting problem
Staff repeatedly copy the same fields from incoming documents.
A useful first scope
A bounded extraction and review queue for selected document types.
How we would check it
Compare fields with the source and route missing, uncertain or duplicate inputs for review.
What we would agree before building
  • Choose document types, fields and representative samples.
  • Define who reviews uncertainty and where accepted data goes.
  • Agree on storage, retention and failed-document handling.

Your first conversation

Bring the work. Leave with a direction.

Start with the owner or operator and the person closest to the task. Bring the repeated job, the tools involved, and where it gets stuck. The AI Build Session helps define a useful first build and the questions that still need answers.

Know the terms before work starts.

Agree on the scope, price, schedule, access, ownership and support responsibilities. Later changes need their own agreement. Sending an inquiry does not book a session, authorize access or create an engagement.

01

Pick one document family

Begin with the records your team enters repeatedly.

Choose a repeatable document family such as supplier invoices, service request forms, or delivery records. Describe how the file arrives, which fields staff copy, where those fields go, and what happens when something is missing. A document containing text is different from a scanned image that needs OCR.

Collect representative, non-sensitive examples for an initial test: normal layouts, rotated scans, missing pages, duplicates and unclear text. The first scope defines supported formats and limits. A demonstration on one clean PDF does not establish performance on everything in an inbox.

02

Extract and check

Keep extracted values tied to the source.

Agree on the field names, required values and destination format before selecting an extraction approach. A proposed invoice record might include the supplier, invoice number, issue date, line items and total. Each important value should be traceable to the document or page it came from.

Ordinary rules can check required fields, dates and arithmetic. AI may help interpret a layout or classify a document, but a model confidence score is not a guarantee of correctness. Define which values always need review and which exceptions stop the workflow.

03

Separate the decisions

An extracted invoice is not an approved payment.

Receipt, extraction, verification and an accounting action are separate states. A first workflow can prepare a record for review without changing an accounting system. If a later scope includes a write, it needs the right destination, permission, confirmation and recovery path.

StageOutputCheck
ReceivedOne identifiable source document.Duplicate or incomplete files do not disappear silently.
ExtractedProposed fields linked to the source.Required fields and uncertain values remain visible.
VerifiedA reviewer accepts or corrects the record. The decision and the version reviewed are recorded.
DeliveredThe destination confirms the permitted write.A retry cannot quietly create a second invoice.
04

Review the difficult cases

Measure errors and reviewer effort on your own documents.

Compare a trial with the current process. Check field-level accuracy, documents requiring correction, time spent reviewing, and failures to reach the destination. A technically successful extraction can still be a poor workflow if staff must recheck every value manually.

For a fictional service company, a first build could prepare invoices from one supplier group for a staff review queue, flag duplicates and send only accepted records onward. This is an illustrative scope, not a client result. The pilot determines whether to expand, narrow the supported formats, or keep manual entry.

05

Connect the record

The destination and the operating owner finish the job.

CRM integration can connect accepted customer or request information to an existing record. Workflow automation can route a review packet or notify its owner. A business dashboard can expose waiting exceptions when the team needs one view.

The engagement defines file storage, retention, access, logging, maintenance, usage costs and who handles failed processing. Bud leads ShepBuild from Jackson for Central Mississippi businesses. Price, schedule and supported formats follow the agreed scope.

Questions / Before the build

Useful answers before a tool is chosen.

01Can you extract data from scanned PDFs or invoices?

That can be an implementation scope. We test representative formats, required fields and document quality before selecting OCR and extraction methods or promising coverage.

02Can extracted information go into our accounting tool or CRM?

We check the destination’s API, permissions and record model. The first workflow may produce a reviewable file; a direct write is separately scoped and must confirm its outcome.

03Do you guarantee OCR accuracy?

No universal figure is promised. Measure the fields and formats your workflow actually needs, including unclear scans and exceptions, and agree on review criteria.

04Will this automatically approve invoices or issue payments?

Extraction does not approve a financial action. The scope keeps verification and any later accounting action distinct, with the business retaining the approval decision.

05Can we start with a small document batch?

Yes. A bounded trial should contain both normal documents and difficult cases, with agreed acceptance checks and an operating owner.
